Getting Started with Your Garuda Tech 3CX Phone System
Welcome to 3CX, set up and managed by Garuda Tech! Whether you’re new to 3CX or just getting started, this user guide will help you quickly understand the core features you’ll be using every day.
With 3CX, you have a powerful communication platform at your fingertips — accessible via your web browser, mobile device, or desk phone. Easily make calls, send instant messages, or host video conferences with your team and customers, all within one seamless system.

Using 3CX on Your Mobile Device (iOS or Android)
Stay connected on the go with the 3CX mobile app, available for both iOS and Android devices.
Simply download the app from the Google Play Store or the Apple App Store.
If the above links ever change - you can simply search for "3CX" to locate the app.
After installing the app, contact your Garuda Tech staff contact and ask them to provide you with a QR code. They will email you a custom QR code that you can scan with the app and that will setup everything for you.
Open the 3CX app on your phone and use the built-in QR code scanner to scan this code. This will automatically configure your extension and settings in just a few seconds — no manual setup required!
Now you’re ready to make and receive calls, chat, and join meetings right from your mobile device wherever you are.
Accessing the 3CX Web Client
You can use the 3CX system directly from your web browser with the 3CX Web Client — no installation needed!
Locate the “Your User Account on your New 3CX System” email from Garuda Tech.
Click the Web Client URL provided in the email to open the 3CX Web Client login page.
Log in using your preferred method:
Google account
Microsoft 365 account
Or the username and password supplied in the email.
Managing Your Presence and Call Queues
Once logged in, you can easily control your availability and call handling:
Click your avatar icon (usually your profile picture or initials) to set your status.
You’ll see five status options such as Available, Away, Do Not Disturb, and more.
When you’re on a call, your status automatically changes to yellow (Busy) so colleagues know you’re occupied.
You can also customize your status and call forwarding rules:
Click Avatar > Your Name > Status to adjust when and how calls are forwarded or handled based on your status.
Video and Audio Conferencing with 3CX
3CX makes it easy to connect with your team and customers through video or audio conferences — directly from your Web Client or Desktop App.
Create an Ad Hoc Video or Audio Conference
Open your 3CX Web Client or Desktop App and click on “Meet”.
When prompted, allow 3CX to access your camera and microphone.
Click “Join Now” to start the meeting immediately.
To invite others, simply copy the meeting link and share it via WhatsApp, email, or any messaging platform.
Schedule a Conference in Advance
In the Web Client or Desktop App, click the “+” icon in the top menu to schedule a new video or audio conference.
Fill in the meeting details, select the appropriate calendar, and click “Create Meeting”.
View all your upcoming scheduled conferences anytime by clicking on “Scheduled Conferences”.
Turn Any Ongoing Call into a Conference
During an active call, click the “Conference” button on the phone dialer.
Search for participants by name or extension, or enter a phone number to add external guests.
Select the participants you want to add — 3CX will automatically call them and merge everyone into the conference.
This flexibility lets you connect quickly for impromptu discussions or plan ahead for important meetings, all seamlessly integrated with your 3CX phone system managed by Garuda Tech.
Managing Your Voicemail in 3CX
You can easily set up and manage your voicemail greetings and listen to messages using the Web Client, Desktop App, smartphone app, or your desk phone.
Set Your Voicemail Greeting via Web Client or Desktop App
Click your Avatar (profile picture or initials) in the top right corner.
Go to Settings > Greetings.
Record a new greeting directly or upload a pre-recorded audio file.
You can create different greetings for different statuses (e.g., Available, Away, Do Not Disturb).
Set Your Voicemail Greeting via Desk Phone
Dial the voicemail number provided in your user account email.
Enter your PIN and press #.
Select option 9, then 8, then 0 to start recording your greeting.
Press # to finish recording, then press 0 to save it.
